Purpose of the post
•Ensure that the people of Gwynedd are at the centre of everything we do.
•Work closely with the Team Leader and the various services of the Adults Department in order to provide effective administrative support.
Responsibility for functions
•
Main duties
•Provide administrative and operational support to the department's business service and other Adults department services as appropriate.
•Support the Senior Business Manager and members of the Business Service with any administrative or support tasks including organising meetings.
•Take minutes at internal meetings as required.
•Respond to individuals' needs for information and support (by answering the phone, welcoming people, responding to enquiries etc)
•Assist the Communications and PR Manager with communications, engagement and social media tasks.
•Gather information / follow corporate arrangements for the workforce (e.g. sickness / holidays etc) sharing details with those who will co-ordinate the information.
•Carry out some research and gather information at the request of the Team Leader.
•Maintain printers and contact the leasing company to arrange repairs if necessary.
•Input, monitor and verify data on systems such as WCCIS, CACI or appropriate spreadsheets.
•Assist the Team Leader with information issues and the arrangements in place for data protection.
•Deal appropriately with any files that need to be filed / disposed of
•Support the Business Service to undertake specific tasks for example performance matters or working through obstacles.
•Ensure that collaboration and sharing of good practice takes place across the service and with other teams on administrative matters and assist with the tidying up of the department's support arrangements
•Undertake various arrangements relevant to the field of work
•Assist and support the Team Leader on any office matters
•Support other teams in special circumstances (e.g. where there are staff absences or lack of capacity within the teams)
•Undertake any other reasonable duty which corresponds with the salary level and responsibility level of the job
•Responsible for reporting any concern or suspicion that a child or vulnerable adult is being abused.
•Responsible for self-development.
•Ensure compliance with Health and Safety rules in the workplace in accordance with the responsibilities noted in the Health and Safety at Work Act 1974 and the Council’s Health and Safety Policy.
•Operate within the Council’s policies in relation to equal opportunities and equality.
•Responsibility for managing information in accordance with the Council’s information management standards and guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
•Commitment to reducing the Council’s carbon emissions in accordance with the Carbon Management Plan, and to encourage others to act positively towards reducing the Council’s Carbon Footprint;
•Undertake any other reasonable duty which corresponds with the salary level and responsibility level of the job.
