Main duties
•Provide administrative support – typing, filing, answering the phone and ensuring operation of the Council’s internal administration systems (annual leave, sickness, timetables etc.) and arranging meetings.
•Arrange to collect performance management statistics and data and record as required.
•Ensure there is appropriate stock of stationery and equipment for the work of the service, including processing invoices for payment.
•Administrate the Gwynedd Fostering Panel which involves arranging the meeting, sending out reports, taking minutes and contacting the members to confirm a quorum. It is also necessary to participate in any fostering panel training at the same time as the panel members.
•Administrate a database and keep records in order to effectuate the service’s compliance with the Fostering Service (Wales) Regulations 2003. This means keeping foster parents’ details up to date in order to maintain a register, record complaints and allegations. Send out fostering packs, CRB checks, enquiries with other agencies, verify applications against the Gwynedd Child Protection Register and medical checks etc. as required.
•Ensure an effective arrangement for notifying other Local Authorities of placements by Gwynedd within their boundaries.
•Designated children’s service administrator for ensuring effective operation of the CSSR. As this is a national resource and is a new and priority development by the Assembly, understanding of the resource’s requirements and their implementation is essential.
•Ensure effective arrangements for the weekly Resources Panel – arranging a room, ensuring that reports and the necessary paper work are received, taking minutes.
•Ensure that information on child placements are input to the looked after children database.
•Assist the Adoption administrator to carry out statutory tasks as required.
•Any other appropriate duties at the request of the Head of Service.
•Be aware of Health and Safety at Work Act requirements and comply with the relevant requirements.

•Ensure compliance with Health and Safety regulations in the workplace in accordance with the responsibilities noted in the Health and Safety at Work etc. Act 1974 and the Council’s Health and Safety Policy.

•Responsible for managing information in accordance with the Council’s information management standards and guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
•Commitment to reducing the Council’s carbon emissions in accordance with the Carbon Management Plan, and to encourage others to act positively towards reducing the Council’s Carbon Footprint.
•Undertake any other reasonable duty which corresponds to the salary level and responsibility level of the job.
•Responsible for reporting any concern or suspicion that a child or vulnerable adult is being abused.
