Purpose of the Post.
• Ensure that the people of Gwynedd are at the heart of everything we do.
• Fulfil the clerical requirements of the Early Years Unit. Offer receptionist service within the centres by offering a high standard of customer care for the clients
Responsibility for functions . e.g. staff, budgets, equipment
Main Duties .
• Fulfil the clerical requirements by keeping an electronic and paper filing system, answering telephone, recording messages, maintain the Unit’s staff diaries, ordering resources, photocopying, collecting and distributing the post, processing and tracking invoices and inputting data bases.
• Record on site H&S checklists.
• Work on the reception at Tŷ Cegin by answering any enquires by callers, by telephone or by e-mail and refer on as needed. Ensure a high quality customer care approach in transferring clear and concise messages and dealing with the clients courteously. The reception will be kept tidy at all times. Also receptionist service will be required at other centres such as Plas Pawb.
• Responsible for the hiring of the Unit’s facilities by answering enquiries, keeping a diary, organising for the needs of the customer i.e. use of IT equipment, room arrangement, organising refreshments etc., offer directions and raising invoices for the use.
• Prepare the rooms for courses and meetings as requested by the customer by organising furniture and equipment, preparing refreshments and then clearing and cleaning cups, ordering and placing food as necessary and tidy up after the events.
• Responsible for the administration of loaning resources
• Responsibility for self-development.
• Ensure compliance with Health and Safety rules in the workplace in accordance with the responsibilities noted in the Health and Safety at Work Act 1974 and the Council’s Health and Safety Policy.
• Operate within the Council’s policies in relation to equal opportunities and equality.
• Responsible for managing information in accordance with the Council’s information management guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
• Commitment to reducing the Council’s carbon emissions in accordance with the Carbon Management Plan, and to encourage others to act positively towards reducing the Council’s Carbon Footprint.
• Undertake any other reasonable duty which corresponds to the salary level and responsibility level of the job.
• Responsibility to report any worry or suspicion that a child or vulnerable adult is being abused
Special Circumstances . e.g. the need to work unsociable hours, special working arrangements etc.
Employment:Temporary contract
Working Hours: 29 hours a week but requested to work on a flexible rota. There will be a need to work unsociable hours occasionally.
