Purpose of the post
•Ensure that the people of Gwynedd are at the heart of everything we do.
•Admin support to an integrated multi agency county team (in partnershipwith Health) that work with disabled children / young people and ill children / young people.
•Work in collaboration with other administrative officers to meet administrative needs to support the work of the team.
Responsibility for functions
•Stationery
•Petty cash (including Health Trust petty cash)
Main duties
•Implement reception duties by answering the phone and dealing with children / young people and their families, professional people that call in the office in a confidential and sensative maner
•Establish and maintain systems for the multi agency team for the purpose of supporting the efficient day to day running of the service (inputting support workers timesheets, Health petty cash)
•Design electronic forms and templates for the purpose of the service, including inputting information on the computerized systems in preparation for families individual electronic file records (WCCIS).
•Keep electronic systems such as Database on Health Board system and Local Authority up to date by inputting new referrals and other information; open cases and scanning documents involved with individual cases.
•Keep statistics from the above systems to assist managers for monitoring of service.
•General duties such as typing reports, photocopying and filing
•Arrange meetings, including minuting to an acceptable standard in strategy meeting, Case Conferences and by preparing reports in preperation for family court cases.
•Minuting in the intergrated service’s internal meetings.
•Ensure appropriate stock and office stationery for the purpose of the service’s work, including the processing of invoices to be paid.
•Operate as a part of an administrative team, that will from time to time, will have to deputise or undertake the work of other members of the team should they be attending meetings, or annual leave or a period of sickness.
•Responsibility for self-development.
•Ensure compliance with Health and Safety rules in the workplace in accordance with the responsibilities noted in the Health and Safety at Work Act 1974 and the Council’s Health and Safety Policy.
•Operate within the Council’s policies in relation to equal opportunities and equality.
•Responsible for managing information in accordance with the Council’s information management guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
•Commitment to reducing the Council’s carbon emissions in accordance with the Carbon Management Plan, and to encourage others to act positively towards reducing the Council’s Carbon Footprint.
•Undertake any other reasonable duty which corresponds to the salary level and responsibility level of the job.
•Responsibility to report any concern or suspicion that a child or vulnerable adult is being abused.
