JOB PURPOSE
• To provide high-quality administrative support within GwE.
• To be committed to providing an efficient and effective service and contributing towards enabling the service to deliver its aim and objectives.
PRINCIPLE RESPONSIBILITIES
- Undertaking reception duties and answering general phone enquiries.
- Being responsible for general office maintenance - the training rooms and equipment, tea/coffee facilities, keeping a room diary, projector etc.
- Dealing with phone and e-mail enquiries in a professional and positive manner.
- Ensure the appropriate distribution and implementation of post procedures – including opening, sorting, tracking and distributing etc.
- Implementing ordering and invoicing systems in an efficient, accurate and appropriate manner.
- Ensuring the efficient and effective procurement of relevant goods/services whilst keeping to the relevant procedures e.g. office supplies.
- Providing general clerical/administrative support.
- Supporting the Support Officers as regards to organising courses, conferences and various work.
- Utilise ICT packages (e.g. Office 365, Outlook, Word, Excel, TEAMS, Zoom, Hwb etc) and produce lists/information/data as required.
- Organising meetings as necessary.
- Assisting to keep diaries as necessary.

• Responsibility for self-development.
• A general responsibility to contribute to the successful operation of GwE by recognising that the purpose of the service is to facilitate and support learning in the six Local Authorities. This requires staff to work together in teams and to accept the flexibility of roles in order to meet changing demands and circumstances.
• The post holder will demonstrate the highest standards of the service behaviours and values.
• To ensure compliance with workplace Health and Safety rules in accordance with the responsibilities set out in the Health and Safety at Work Act 1974 and the Service's Safety Policy.
• Operate within the service's policies on equal opportunities and equality.
• Responsibility for information management in accordance with service information management standards and guidelines. To ensure that personal information is treated in compliance with Data Protection legislation.
• Undertake any other equivalent and reasonable duties commensurate with the level of responsibility of the post.
• Responsibility to report concern or suspicion of abuse of a vulnerable child or adult.
• Operate within the service's Equal Opportunities and Equalities policies and procedures.
